Overview

The HR Operations Coordinator supports the daily operations of programs that enhance the employee experience, including benefits, compensation support, HR systems, and engagement initiatives. This role ensures accurate data management across systems, helps employees navigate rewards programs, supports communications and education efforts, and contributes to a positive and inclusive employee culture. The ideal candidate is detail-oriented, tech-savvy, and passionate about elevating the employee experience.

Responsibilities

Benefits & Total Rewards Support

  • Support benefit enrollments, life events, and termination processes across health, wellness, and retirement plans
  • Respond to employee inquiries and provide guidance on benefit programs, eligibility, and vendor platforms
  • Assist with open enrollment activities, including communications, meetings, and required notices
  • Approve new hire enrollments and complete subsequent data entry in HR and vendor systems
  • Review, reconcile, and prepare benefit-related invoices for approval
  • Assist with wellness initiatives, recognition programs, and employee rewards activities

Compensation & Payroll Support

  • Support compensation-related data entry and updates, including job changes, pay adjustments, and position details in payroll systems
  • Assist with compensation surveys and data collection
  • Support the annual compensation cycle, including data validation, merit tool usage, and manager support
  • Serve as a backup for payroll processing

HR Operations, Systems & Data

  • Maintain accurate and confidential employee data within the HRIS and personnel files
  • Ensure data accuracy by monitoring vendor file feeds, conducting routine audits and resolving discrepancies
  • Generate, reconcile, and audit reports to ensure data integrity across HR, payroll, and benefit systems
  • Assist with process documentation and identify opportunities for improved efficiency or automation
  • Maintain the HR intranet + HRIS page, ensuring benefits and employee resources are current and accessible
  • Manage the benefits inbox and related employee requests
  • Identify opportunities to incorporate AI and automation into people programs, enhancing scalability and employee experience.

Compliance & Support

  • Respond to unemployment claims and employment verification requests
  • Support HR compliance activities, including document retention, regulatory reporting, and annual filings
  • Assist with employee onboarding/offboarding tasks related to benefits and compensation
  • Provide administrative support for other HR functions during peak workloads or special projects

Qualifications

  • Bachelor’s degree in Human Resources, Business or related field
  • 1-3 years of HR experience or administrative coordination (internships included).
  • Knowledge of AI, Chat GPT, or other automation software
  • Knowledge of benefits, compensation, and general HR regulations and laws preferred
  • Knowledge of HR systems preferred (WorkDay, ADP, etc.)
  • Strong customer service skills with a focus on the employee experience
  • Highly proficient with Adobe and Microsoft Office Suite (Excel, PowerPoint, Word, Outlook)
  • Competencies:  Attention to Detail, Highly Organized, Strong Interpersonal Skills, Team Player, Self-Starter, Discrete, Excellent Verbal and Written Communication skills, Customer Service, Time Management
  • Working Conditions: Position may require periodic evening and weekend work, as necessary to fulfill obligations.  Periodic overnight travel may be required. This is a hybrid role based in Xeris’ Chicago office and requires a minimum of three days per week in the office. On-site requirement may change at management’s discretion.

The level of the position will be determined based on the selected candidate’s qualifications and experience.

The anticipated base salary range for this position is $55,000 to $80,000. Final determination of base salary offered will depend on several factors relevant to the position, including but not limited to candidate skills, experience, education, market location, and business need. This role will include eligibility for bonus and equity. The total compensation package will also include additional elements such as multiple paid time off benefits, various health insurance options, retirement benefits and more. Details about these and other offerings will be provided at the time a conditional offer of employment is made.
