Overview

The Associate Manager, Marketing Operations is a key member of the Marketing team who will partner closely with marketing colleagues and external agencies to manage the day-to-day operations of the Marketing team to promote and create efficiencies and streamlined processes. This role will also be responsible for marketing capabilities initiatives and the development and fulfillment of marketing materials to ensure campaign delivery in support of Xeris’ commercial products. The person in this role will have a strong appreciation for creation of processes/procedures and efficiencies as well as measurement of said efficiencies and optimizations. They will be detail-oriented, thrive in a fast-paced environment, have superior communication and organization skills, and be capable of effectively managing many projects at the same time. This role requires high collaboration across not just the marketing team, but also external agencies, sales, compliance, medical and regulatory.

Responsibilities

  • Manage vendor relationships and backend onboarding and payments for external partners
  • Serve across all brands to develop and fulfill content, collateral and campaign assets ensuring effective campaign delivery
  • Assist in managing materials through legal and regulatory review process as required
  • Define and drive current processes and create new processes to ensure an efficient operation for the marketing team
  • Help develop and maintain the Xeris Marketing Capability Model
  • Onboarding/Transitioning New Hires/Transfers for Marketing Capabilities
  • Drive cross-functional project management, ensuring marketing initiatives are delivered on time, within scope, and aligned with business objectives by managing timelines, stakeholders, resources, and status updates.
  • Collaborate cross functionally to ensure that new processes are implemented and integrated with marketing operation tools (file sharing, CRM optimizations, etc.)
  • Help to increase project speed while maintaining quality and adherence to Compliance rules and regulations
  • Maintain and manage project management tool for adoption across the marketing team to assist in creating campaign visibility and communication across the marketing team
  • Support the management of Marketing Department’s budget and vendors- manage line items, report on cost savings, analyze ROI, and communicate areas for growth
  • Collaborate with and assist Marketing Ad Promo Review Manager and other teams to roll out optimizations as needed in Veeva PromoMats
  • Serve as the lead for managing and maintaining all marketing contracts and Purchase Orders to ensure contracts are reviewed by all cross-functional teams and fully executed in a timely manner while actively keeping project owners updated throughout the length of the project
  • Manage the end-to-end process for print marketing collateral from overall management of external partner, budget management, inventory management & maintenance, fulfillment site monitoring & optimization, sales rep orders, etc. and oversee approved pieces going to print (print proof, quantity, coordinating drop ship to reps.)
  • Lead/participate in additional projects and tasks as assigned.

Qualifications

  • Bachelor’s degree in business, marketing or other relevant field of study
  • A minimum of 3 years of marketing operations experience, preferably in a related industry such as pharmaceuticals or healthcare.
  • Ability to work in a fast-paced environment with a great deal of autonomy
  • Understanding of FDA regulations and guidance regarding advertising and promotion of highly regulated products or services
  • Strong proficiency with Veeva PromoMats, Microsoft Office, with particular emphasis in Excel, and project management tools
  • Ability to work effectively with colleagues, managers, stakeholders and vendors
  • Ability to plan and organize work and self in order to achieve objectives and targets; accountable for the delivery of outcomes; strives to meet and exceed expectations
  • Has a flexible approach to change; is able to work effectively in a variety of situations; constantly seeks improvements and is forward looking

  • Working Conditions: Position may require periodic evening and weekend work, as necessary to fulfill obligations. Periodic overnight travel – approximately 25% anticipated. This is a hybrid role based in Xeris’ Chicago office and requires a minimum of three days per week in the office. On-site requirement may change at management’s discretion.

The level of the position will be determined based on the selected candidate’s qualifications and experience.

The anticipated base salary range for this position is $80,000 to $120,000. Final determination of base salary offered will depend on several factors relevant to the position, including but not limited to candidate skills, experience, education, market location, and business need. This role will include eligibility for bonus and equity. The total compensation package will also include additional elements such as multiple paid time off benefits, various health insurance options, retirement benefits and more. Details about these and other offerings will be provided at the time a conditional offer of employment is made.
