Overview

The Marketing Operations Coordinator is a key member of the Marketing team who will partner closely with colleagues and external agencies to help facilitate the day-to-day operations of the Marketing team, promoting efficiencies and streamlined processes. This role will also support the development and fulfillment of marketing materials and assist in campaign delivery in support of Xeris’ commercial products. The person in this role will have a strong appreciation for process creation, optimization, and measurement. They will be detail-oriented, thrive in a fast-paced environment, possess strong communication and organizational skills, and be capable of coordinating multiple projects simultaneously. This role requires high collaboration across not just the marketing team, but also with external agencies, sales, compliance, medical, and regulatory.

Responsibilities

• Help facilitate vendor relationships and support onboarding and payments for external partners.
• Work across all brands to assist in developing and fulfilling content, collateral, and campaign assets to ensure effective campaign delivery.
• Coordinate the submission of materials through legal and regulatory review processes as required.
• Assist with defining and improving current processes and help establish new processes to support efficient marketing operations.
• Collaborate cross-functionally to ensure that new processes are integrated with marketing operation tools (file sharing, CRM updates, etc.).
• Help accelerate project timelines while supporting quality and compliance with regulatory standards.
• Maintain and help facilitate use of the project management tool to create campaign visibility and communication across the marketing team.
• Support budget-related processes by helping track line items, assisting with reporting, monitoring cost savings, supporting ROI analysis, and communicating areas for growth.
• Partner with the Commercial Operations team to help enhance data hygiene.
• Collaborate with the Marketing Ad Promo Review Manager and other teams to roll out optimizations in Veeva PromoMats and serve as backup support during their absence.
• Help coordinate and maintain all marketing contracts and Purchase Orders, ensuring that reviews are completed, approvals obtained, and project owners are kept informed throughout the process.
• Coordinate the end-to-end process for print marketing collateral, including external partner coordination, budget tracking, inventory upkeep, fulfillment site monitoring, and sales rep orders; support the finalization of approved pieces going to print (print proof, quantities, shipping logistics, etc.).
• Assist with additional projects and tasks as assigned.

Qualifications

• Bachelor’s degree in business, marketing or other relevant field of study
• 2-3 years of marketing or sales experience, preferably in a related industry such as pharmaceuticals, healthcare, finance or education

• Ability to work in a fast-paced environment with a great deal of autonomy
• Understanding of FDA regulations and guidance regarding advertising and promotion of highly regulated products or services
• Strong proficiency with Veeva, Microsoft Office, with particular emphasis in Excel, and project management tools
• Ability to work effectively with colleagues, managers, stakeholders and vendors
• Ability to plan and organize work and self in order to achieve objectives and targets; accountable for the delivery of outcomes; strives to meet and exceed expectations
• Has a flexible approach to change; is able to work effectively in a variety of situations; constantly seeks improvements and is forward looking

Working Conditions: Position may require periodic evening and weekend work, as necessary to fulfill obligations. Periodic overnight travel – approximately 25% anticipated. This is a hybrid role based in Xeris’ Chicago office and requires a minimum of three days per week in the office. On-site requirement may change at management’s discretion.

The anticipated base salary range for this position is $50,000 to $70,000. Final determination of base salary offered will depend on several factors relevant to the position, including but not limited to candidate skills, experience, education, market location, and business need. This role will include eligibility for bonus and equity. The total compensation package will also include additional elements such as multiple paid time off benefits, various health insurance options, retirement benefits and more. Details about these and other offerings will be provided at the time a conditional offer of employment is made.
