Overview

The Talent Acquisition Coordinator plays a vital role in supporting the Talent Acquisition team by managing administrative and logistical functions that ensure a seamless, professional, and positive experience for candidates, interns, and employees at all levels. This position is key to maintaining efficient interview scheduling, effective candidate communication, onboarding processes, and accurate system updates. The Coordinator acts as a primary point of contact for candidates and upholds our employer brand throughout the hiring journey.

Responsibilities

  • Develop a strong understanding of Xeris' business functions by supporting the Talent Acquisition team
  • Passionate about delivering a high-quality experience for candidates, fellow employees, interns, and vendors
  • Collaborate with recruiters to post job postings for internal and external portals
  • Coordinate, schedule, and communicate interviews across multiple time zones between candidates, recruiters, and hiring managers
  • Support the offer process and new hire onboarding activities, including:
  • Preparing and sending offer letters and related documentation for signatures.
  • Initiating and tracking pre-employment background checks, drug screenings, and i-9 employment verifications in collaboration with external vendors
  • Partnering with office services and IT to prepare new hire workstations
  • Sending new hire notifications to internal stakeholders
  • Ensuring all required pre-employment documentation is completed and in compliance with company standards
  • Partners with talent management to create orientation schedule and communications are timely and accurate
  • Sending out first day logistics and orientation details to new hire
  • Support employer branding initiatives, recruiting events, and job fairs as needed
  • Assist with Xeris’ Internship Program, including posting roles, screening, interviewing, extending offers, and onboarding interns
  • Manage relationships with vendors regarding relocation benefits, handle the submission of new relocation cases, and oversee the cases throughout the entire process
  • Create, track, and manage Purchase Orders related to recruitment vendors, job boards. Monitor invoice status to ensure timely and accurate vendor payments
  • Support ATS (iCIMS) enhancements by submitting tickets as needed and escalating any backend issues related to the ATS
  • Source candidates and review resumes from applicant tracking systems (ATS) and recruiting platforms like LinkedIn
  • Manage the recruiting inbox, calendar, and maintain and update the SharePoint Talent Acquisition site
  • Document TA processes and assist in developing standard operating procedures
  • Perform other duties and ad hoc projects as needed

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or related field (or equivalent experience).
  • 2-4 years of experience in HR, recruiting, or administrative coordination (internships included).
  • Highly proficient with Adobe and Microsoft Office Suite (Excel, PowerPoint, Word, Outlook)
  • Experience with Applicant Tracking Systems (ATS), such as iCIMS, and LinkedIn Recruiter is a plus.

  • Working Conditions: Position may require periodic evening and weekend work, as necessary to fulfill obligations. Periodic overnight travel. This is a hybrid role based in Xeris’ Chicago office and requires a minimum of three days per week in the office. On-site requirement may change at management’s discretion

The anticipated base salary range for this position is $50,000 to $75,000. Final determination of base salary offered will depend on several factors relevant to the position, including but not limited to candidate skills, experience, education, market location, and business need. This role will include eligibility for bonus and equity. The total compensation package will also include additional elements such as multiple paid time off benefits, various health insurance options, retirement benefits and more. Details about these and other offerings will be provided at the time a conditional offer of employment is made.
