Overview

The Event Operations Coordinator is a key member of the Marketing team who will partner closely with marketing colleagues and external agencies to support the execution of internal and external meetings and events inclusive of national commercial meetings and medical/patient conferences. The primary focus for this role includes supporting the planning, logistics and execution of an annual event marketing plan that enables Xeris and its three commercial products to actively engage with targeted audiences, and that the engagement translates into high quality leads for the business. This role requires high collaboration across not just the marketing team, but also sales, compliance, medical and regulatory.

Responsibilities

  • Work collaboratively with Events Manager to organize all logistics for events, including but not limited to timelines, vendors, accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing, and event security
  • Coordinates pre-event logistics and operational details, on-site event management and post-event reconciliation with internal and external stakeholders
  • Arranges the availability of audio-visual equipment, transportation, displays, onsite collateral, giveaways, and other event needs
  • Monitors event activities in order to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise
  • Works with staff at the chosen event site to coordinate details
  • Reviews and reconciles event bills for accuracy and submits for payment
  • Maintain annual event marketing calendar for cross-functional team
  • Assists in developing event metrics/goals, including financial; tracks and monitors during event; and conducts post-event evaluations in order to determine success
  • Manage event materials through medical, legal, and regulatory review process
  • Assist sales team with local events, including material and logistical requests
  • Support marketing colleagues with management of product theaters and HCP and patient speaker events
  • Ad-hoc support of advocacy partner initiatives
  • Other projects and tasks as assigned

Qualifications

  • Bachelor’s degree in business or other relevant field of study
  • 1-2 years of marketing or sales experience, preferably in a regulated industry such as pharmaceuticals, healthcare, finance or education
  • Ability to work in a fast-paced environment with a great deal of autonomy
  • Strong project management skills
  • Strong skills in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook)
  • Experience with Veeva PromoMats preferred
  • Delivers high impact and value in projects and initiatives
  • Proven track record of taking initiative and operating in a proactive manner

  • Working Conditions: This is a hybrid position based in Xeris’ Chicago office and requires a minimum of three days per week in the office. Position may require periodic evening and weekend work, as necessary to fulfill. Periodic overnight travel – less than 10% anticipated.

The anticipated base salary range for this position is $55,000 - $70,000. Final determination of base salary offered will depend on several factors relevant to the position, including but not limited to candidate skills, experience, education, market location, and business need. This role will include eligibility for bonus and equity. The total compensation package will also include additional elements such as multiple paid time off benefits, various health insurance options, retirement benefits and more. Details about these and other offerings will be provided at the time a conditional offer of employment is made.
